AHG – Dubai is looking for Executive Assistant who is responsible for keeping our office running smoothly and overseeing administrative support. The job can range widely in duties and responsibilities to ensure that AHG office in Dubai is operating effectively on a day-to-day basis. An admin. Assistant’s duties typically include:

Internal Process

Organizing meetings and managing databases in adherence with ISO standards.
Booking travel arrangements.
Ordering stationery and IT equipment, office supplies, and managing inventory.
Dealing with correspondence, invoices, and queries
Preparing letters, reports, copies, and forms
Extensive management of assignment reporting, booking appointments, arranging daily/weekly/monthly meetings, and updates as required.
Organizing induction programs for new employees.
Ensuring that health and safety policies are up to date
Attending meetings with senior management and recording minutes
Assisting with the organization’s HR and finance functions by keeping personnel records up to date, arranging interviews, and updating financial documents.
Maintaining office policies and procedures
Monitoring and supervising equipment and office maintenance.
Ensure that executives arrive on time and with appropriate documentation.
Take and deliver messages to the executive(s) on time.
Email management.
Client relationships by providing generous support to visitors.
Maintain and build good working relationships with Executive/s clients and their assistants via phone and email.
Processing invoices and managing office budgets
Review clients’ financial statements and assurance reports with audit managers.
Experience:

1-2 years
UAE Residency or working VISA
