To coordinate the operations of the assigned AZAD properties including monitoring and renewal of leases and, contracts, maintenance and repair of facilities, tenant management and supervision and coordination with third party workers in order to ensure efficient management of properties in accordance with the defined policies and procedures.

Operational

Oversee the day to day properties operation at AZAD ensuring compliance with the defined policies and procedures.
Build and maintain a working relation with client by responding to tenants’ complaints and requests in a timely and courteous manner in order to ensure satisfactory resolution of issues.
Ensure tenants comply with terms and conditions of lease agreements to facilitate effective property management.
Ensure procurement and installation of various materials (internal signage, accessories, internal fittings) as necessary on AZAD’s properties.
Prepare and archive all property management related reports, memo, and other documentation to ensure availability of required information to stakeholders.
Manage the assigned properties through effective coordination and allocation of resources to ensure assets are being managed and maintained as per AZAD guidelines and quality standards.
Assist in the selection process of suppliers, third parties, and service providers as necessary to evaluate and recommend the most suitable option.
Assist the Operation Department in the implementation of the yearly plan by providing constructive feedback and expertise to ensure that operations at AZAD’s properties are being managed in an effective and efficient manner.
Conduct periodic inspections of AZAD’s properties and tenant spaces to ensure compliance with lease agreements and proper upkeep of the properties.
Contribute to the evaluation and selection process of contractors, service providers and sub-contractors to ensure uninterrupted service at AZAD’s properties at cost efficient rates.
Manage administrative expense and petty cash and maintain records to properly track expenses and for internal audit purpose.
Monitor the work of external service providers on regular basis to ensure compliance with the established Service Level Agreements (SLAs).
Ensure proper database for the filing administration related documentation and information concerning all properties (soft and hard copies).
Draft and complete due invoices, invoice tenants accordingly and reconcile the figures with the Finance and Transaction Team to ensure timely and accurate payment of rent and other dues.

Customer Relationships

Coordinate with leasing function on new leases/rentals or renewals of tenants to ensure all maintenance works to ensure efficient hand over process.

Policies, Systems, Processes, Procedures, Standards and Reports

Follow all relevant functional policies, processes, standard operating procedures and instructions to ensure that work is carried out in a controlled and consistent manner.
Assist in the preparation of timely and accurate functional statements and reports to meet corporate and functional requirements, policies and standards.

Safety, Quality & Environment

Apply safety, quality and environmental management policies, procedures and controls to ensure employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude.

Continuous Improvement

Contribute to the identification of opportunities for continuous improvement of AZAD function systems, processes and practices considering ‘international best practice’, improvement of business processes, cost reduction and productivity improvement.
