Roles and Responsibilities

Organize & Manage day-to-day operation of the GR & Admin operations
Work closely with the ministries, and other related organizations to ensure that all required documents are issued on time and are kept up to date.
Build a good relationship with all staffs to represent Admin functions
Provide support to expatriate personnel in terms of obtaining residence visas, Iqamas, driver’s licenses, and assisting in opening bank accounts, negotiating leases, and in general assisting expatriates with their transition coming to and departing the Kingdom.
Keep the Country Director appraised of new and changing regulations, documentation requirements, and any trends in government activities that might affect the operations.
Be prepared to meet with authorities at any time, especially during emergencies with employees and employees’ family members (auto accidents, illness, etc.).
Provide orientation to new employees regarding customs, laws, driving regulations, and such that may affect the day-to-day activities of employees
Has knowledge of the use of electronic government systems “Muqeem – Labor Office – Ministry of Commerce – Chamber of Commerce – Qiwa – GOSI – Mudad” etc.
Assist the HR needs such as medical insurance addition & deletion
Support the procurement department in getting some qoutations from suppliers and to create PO’s
Understand the labor law.
Handle the visa’s process (Issue new visa- Iqama – Exit Re-entry – Final Exit – Visit Visa – etc..)
Vehicle Management and petty expenses etc
New joiner accommodation & reservations.
Assist in the onboarding for new joiners & offboarding for resignations.
Support the employees claim expenses
Employees timesheet record
Assist the HR needs in the payroll & employees leaves requests.
Responsible for the company Chamber of Commerce – Zakat
Prepare employees letters.
Responsible for the employees files.
Use the HR oracle system.
Handling office administration
Nurture a positive working environment

Education and Qualification:

Diploma or Bachelor’s degree with at least 3 years of experience.
Good verbal and written communication skills
Good interpersonal skills and meticulous attention to detail
Languages

English , Arabic.
