Documentation and Archiving Officer

Job purpose

The jobholder is responsible for performing documentation and archiving activities with close supervision including records database update, filing, indexing, paper and electronic classification, storage, preservation, retrieval, and restoration in line with internal policies and applicable regulations.

Responsibilities

Keep abreast of latest trends and regulations set by NCAR related to documentation and archiving for recommendation and implementation at CCHI
Update CCHI records database continuously by entering documents and records information in central repository
Implement indexing and classification in line with archiving standard operating procedures
Perform paper-based and electronic filing of CCHI documents in the internal database in an organized manner to ensure continuous availability
Store and track various documentation including internal and external communications in a central internal repository, secured from damage or deterioration and with proper traceability for retrieval
Conserve and preserve documents and other materials including archival materials and special collections for future reference in CCHI internal storage facility
Retrieve documents from the documentation and archiving, when requested, to support internal and external stakeholders based on rights classification
Perform documents and records restoration in line with set procedures ensuring high standards
 Education, Certifications

Bachelor’s Degree in Archives and Records or Library or Information Science or a related field
Knowledge of National Center for Archives and Records (NCAR) regulations
Preferred oral and written English language (Basic)
 Experience

0-3 years of relevant experience
Experience in documentation and archiving
Previous experience in government sector or regulatory bodies is prefer
