Summary:

The Office Operations Associate is responsible for providing administrative support to the operations team & Manager. This includes below responsibilities:

Responsibilities:

Project timesheets Fill and follow up with clients and invoice uploading to the exports.
Onboard process of employee -VISA, Outsourced, Onsite arrangement, Travel planning process.
Internal team co-ordination between – HR, Business units
Data entry, maintenance, reporting work
Monthly report of Resourcing, Costing, Project billed resources, Outsourced candidate report.
Maintaining a record of Visa renewals and new visa issues for GCC (KSA, Egypt, UAE), New projects and resource details
Assigning tasks to various teams and assist with managing schedules.
Coordinating project management activities, resources, equipment, project schedules.
Organizing project administration activities.
Performing various coordinating tasks like maintaining project documentation and handling project files.
Performing administrative liaison functions between other offices, project management and head of departments.
Providing administrative support to other Departments.
Maintaining contract documents by listing documents and storing them in the assigned places.
Acting as a point of contact and communicating the project status to all participants and attending calls and meetings as required.
Preparing and developing statistical reports to related work.
Qualifications:

High school diploma or equivalent.
2-4 years of experience in an administrative role.
Excellent customer service skills and communication skills.
Strong organizational and time management skills.
Proficient in Microsoft Office Suite.
Smart sheet work would be added advantage.
Quick learner would be plus.
