Job Title: Office Assistant
Reports to: Managing Director/ Managers
Job brief
Responsibilities
Screen all incoming calls and route accordingly.
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Prepare and modify documents including correspondence, Memos and forms.
Update contact records using database.
Prepare and Produce regular reports.
Be responsible for clerical and organizational tasks like file organizing.
Create and maintain files, both physical and electronic.
Replenish and be responsible of office all office supplies to keep office running properly.
Arrange travel and accommodation for Directors and staff.
Manage staff vacations and leaves along with Accounts department.
Manage and control Head Office drivers
Manage petty cash reimbursements and reconciliation, maintain bookkeeping.
Other jobs as required by management.
Requirements
Proven work experience as an Administrative Assistant.
Knowledge of principles and practices of basic office management.
Excellent organizational and time management skills.
Excellent filling abilities
Familiarity with office organization and optimization techniques.
Excellent written and verbal communication skills. Arabic and English are a MUST (Spoken and Written)
Integrity and professionalism (attention to details and accuracy)
Ability to multi-task and work independently as well as in a team.
Proactive, take initiative and well organized.
Prompt in the completion of tasks.
Maintains the highest level of confidentiality at all times.
Prioritizing when necessary.
Proficiency in MS Office.
High school diploma at least.
