Veterinary Receptionist Job Summary

The Veterinary Receptionist role requires being comfortable in the presence of animals, particularly in sensitive situations. Individuals in this role must be comfortable dealing with sensitive situations on a daily basis. Veterinary Receptionist’s role is to deliver exceptional customer service and ensure clients are politely greeted when entering and well satisfied before exiting the hospital. Must be able to handle multiple unrelated tasks simultaneously while working in a busy environment. Key components of the Veterinary Receptionist role include providing accurate information to inquiries from clients and other members of the team and maintaining a positive and professional relationship with clients and our referring community. He/she is also in charge of maintaining office and client files; and for scheduling appointments and surgical procedures in the hospital for patients utilizing his/her knowledge of doctor’s availability and activities, and space in the clinic.

Duties and Responsibilities:

– Keeps a safe and clean reception area by complying with procedures, rules, and regulations. – Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

– Relay appropriate information to/from clients to doctors and/or management. – Promote the company products and services to clients.

– Lead and train other team members or new joiners as per the request of the direct manager. – Contributes to team effort by accomplishing related results as needed.

– Issuing invoices for treatment and prescribed medication after each consultation.

– Receiving and verifying payments after each consultation.

– Monitoring the inventory of items for sale by the practice and restocking these, as needed.

– Overseeing the sale of items stocked by the practice.

– Informing the veterinarian on a call of any emergencies that require urgent attention.

– Provide top-notch customer service.

– Being attentive to client and pet needs.

– Identify and work compassionately with clients in various emotional states.

– Work patiently with distressed, frustrated or disgruntled clients.

– Answer and triage phone calls from clients.

– Schedule appointments and schedule procedures.

– Check-in clients and collect the needed information.

– Monitor client flow from check-in to discharge.

– Monitor schedule and flow and Client callbacks.

– Discharge patients and Process payment transactions.

– Client education and assist with pet supply purchases such as pet food, supplements, and grooming items.

– Assist in cleaning the hospital including but not limited to: keeping reception desk area and lobby clean and sanitary, taking out the trash and recycling, laundry, cleaning floors, Bathrooms, exam rooms, etc.

– Maintain proper documentation in the electronic medical record.

– Greeting and welcoming patients with sincerity.

– Answering telephone calls and returning e-mails.

– Scheduling appointments using our designated software.

Requirements:

– Familiarity with animals.

– Familiarity with veterinary medical billing software

– Intermediate computer proficiency.

– Ability to maintain confidentiality.

– Excellent organizational, time management, and multitasking abilities.

– Personable, empathic disposition.

Capacity to work well during distressing situations.

– Ability to work shifts, on weekends, and on public holidays, as needed
