Executive Assistant

Roles and Responsibilities:

Organizing and following up the appointments and agenda of the chief, arranging meetings, and preparing all documents required for the effective organization of the chief’s appointments and agenda.
Following up on the preparation and organization of rooms and supplies for meetings and events headed by the chief, documenting its outcomes and writing the minutes of the meetings.
Organizing and following up the implementation of travel reservations and all logistical procedures for the chief and the relevant measures inside and outside the Kingdom to ensure the effectiveness and accuracy of the arrangements.
Classifying and archiving the documents and records of the chief and saving it in a systematic manner.
Preparing letters, reports and outputs with the required accuracy and timeliness to meet work requirements and reach the desired level of efficiency.
Act as the point of contact among executives, employees, clients and other external partners.
Manage information flow in a timely and accurate manner.
Prepare weekly, monthly or quarterly reports.
Act as an office manager by keeping up with office supply inventory.
Format information for internal and external communication – memos, emails, presentations, reports.
Screen and direct phone calls and distribute correspondence.

Requirements and Qualifications:

1 – 5 years work experience as an Executive Assistant, Personal Assistant or similar role.
Bachelor degree in Business Administration or any other related major.
Excellent MS Office knowledge.
Outstanding organizational and time management skills.
Excellent verbal and written communications skills in Arabic and English.
