The role is responsible to perform designated administrative duties effectively as per the departmental requirements. Furthermore, the role is responsible to manage documents, coordinate arrangement and liaise with various other departments ensuring compliance as per company QHSE norms.
Responsibilities:
Prepare and send out external and internal business correspondences and announcements
Screen, respond, and redirect correspondence, telephone queries and other inquiries
Attend to walk-in staff, guests or visitors and direct them to the concerned personnel
Schedule and make logistical arrangements for meetings and conferences; prepare and distribute meeting agendas and minutes
Coordinate travel and itinerary arrangement for authorized staff, including visa applications, ticket and hotel reservations
Undertake complete documentations for department files as per the filing system; perform document control; copying, mailing, faxing, etc. of official documents as needed
Request for office and stationery supplies, and prepare monthly inventory, coordinate with Procurement department on office furniture requests
Coordinate with IT or corresponding supplier for equipment repair, replacement and installation
Receive incoming snail mails (postal and courier packages), sort and distribute to respective staff/department
Manage the department petty cash
Coordinate with various departments to resolve/process staff concerns or issues
Qualifications
Diploma in Administration practices or related areas, Bachelor’s degree preferable
Minimum 2 years of similar experience
Effective Communication, Interpersonal skills and Timely decision making
Planning, organizing, presentability and courteousness
Knowledge of oral and written English and local language as indicated.
Basic computer skills and proficiency in MS Office application
