We are looking for a responsible and talented executive to provide timely and well-organized secretarial and administrative support to the Leadership Team. You will be working directly with the leadership team with a direct report to the Regional Head with regards to tasks and projects.

KEY RESPONSIBILITIES

Provide proactive and efficient secretarial support to the leadership team
Key point of contact for the leadership team to; schedule appointments, takes dictation, compose, and types correspondence, and perform other administrative and clerical duties
Provide excellent secretarial and administrative support to Project Managers
Arrange travel, and related itineraries and make reservations
Ensuring smooth administration and be the focal point of the office
Respond professionally to all incoming communications, such as phone calls and emails representing and dignifying the company
Distribute, filter, and forward communications to proper individuals and departments
File and update contact information of employees, customers, suppliers, and external partners
Maintain employee records (staff leave salary, airfare, memos, attendance, etc)
Maintain inventory and order office supplies
Create written and typed reports, memos, documents, and business letters etc
Type and proofread correspondence, forms, and other documents
Provide ad-hoc support as required, such as conducting research, gathering data, and assisting the HR manager with the payroll processes
Contribute to enhancing client interaction using suitable gestures and greeting techniques
 KNOWLEDGE, SKILLS, AND ATTRIBUTES

Excellent verbal and written communication skills in English. Knowledge of Arabic will be an extra advantage
Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
Multitasking and time-management skills, with the ability to prioritize tasks
Ability to function well in a high-paced and at times stressful environment
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
Availability of extra hours and weekends as per project requirements
Sharp analytical and problem-solving skills
Great Team Player
Willingness to Travel
