The Proposal Coordinator plays a crucial role in the Proposal Department by managing and coordinating the response to requests for proposals (RFPs) from clients. This individual will collaborate with various departments within the company, including Project Management, Production, Marketing, Logistics, Operations, and Creative, to ensure seamless communication and efficient proposal development.
Responsibilities:
• Review and analyze incoming RFPs from clients to understand project requirements and objectives.
• Extract key information and assess the feasibility of proposals based on company capabilities.
• Collaborate with different departments to create comprehensive briefs for project teams.
• Assign roles and responsibilities to team members based on their expertise and workload capacity.
• Act as a liaison between departments to ensure smooth coordination and communication throughout the proposal development process.
• Monitor progress and timelines, proactively addressing any issues that may arise during proposal execution.
• Ensure accurate and up-to-date data entry for all ongoing and potential projects into the CRM software.
• Maintain an organized and easily accessible database of project-related information.
• Regularly follow up with departments to track the status of ongoing proposals and address any challenges or bottlenecks.
• Provide timely updates to the Proposal Manager and other stakeholders on the progress of proposals.
Education and Experience:
• Bachelor’s degree in business administration, Marketing, Event Management, or a related field.
• 1 – 2 years experience in event management or a similar field.
Knowledge and skills:
• Proven experience in proposal development, project coordination, or a similar role within the event management industry.
• Proficient in using CRM software and other project management tools.
• Detail-oriented with a keen analytical mindset for RFP analysis.
