Job Description:

Bostech Polymer LLCFZ is looking for a meticulous, organized, and proactive Administrative Assistant to manage import and export invoices, handle documentation including LC handling, and track and follow up on shipments. In addition to these responsibilities, the successful candidate will also be required to make sales calls, contributing to our team’s overall commercial success. This role requires attention to detail, problem-solving skills, and strong communication abilities.

Responsibilities:

Import and Export Management: Prepare and manage all import and export documents in line with company and government regulations. Ensure the timely, accurate, and efficient handling of all paperwork.
LC Handling: Manage and execute Letters of Credit (LC) transactions, making sure all LCs are accurately issued and confirmed. Ensure that all terms and conditions are met within the required timeline.
Shipment Tracking: Monitor and track shipments, keeping all relevant parties informed of expected delivery times, delays, and changes. Regularly update shipment statuses in the company database.
Shipment Follow-up: Conduct regular follow-ups with freight and logistics partners to ensure smooth operations. Address and resolve any issues that may arise during the shipment process.
Sales Calls: Assist in making sales calls to prospective and existing clients, promoting our products, discussing their needs, and potentially negotiating sales contracts.
Documentation Organization: File, store, and retrieve corporate documents, records, and reports in a timely and efficient manner. Maintain an organized, accurate, and up-to-date document management system.
Qualifications:

Bachelor’s degree in Business Administration or related field.
At least 2 years of experience in an administrative role, preferably in import/export or logistics.
Familiarity with import/export laws and regulations.
Proficiency in LC handling and international trade transactions.
Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet strict deadlines.
Strong communication skills, both verbal and written.
Proficiency in Microsoft Office Suite, with emphasis on Excel.
Ability to work independently, as well as part of a team.
Experience in making sales calls is a plus.
