We are looking for a team player who will provide high-level assistance for our Sales Team to maximize performance. The ideal candidate should be a well-organized, driven, and proactive person who will keep schedules, and provide feedback, documentation, and information to facilitate team activity.
What you’ll do
Ensure the sales department’s proper functioning regarding the document’s management: prepare the sales quotations and agreements, invoicing, collecting and preparing sets of documents for the IP-registration process;
Coordinate sales team by managing schedules, filing important documents and communicating relevant information;
Provide support to the overall sales team by planning internal staff meetings, preparing meeting agendas, recording discussions, creating, transcribing, and distributing meeting minutes, provide follow-up reports;
Prepare letters templates, reports, and PowerPoint presentations;
Assist in the preparation and organizing of promo/marketing materials and events;
Answer and screen phone line return messages;
Support business needs of the Managing Director, organize meetings and appointments, including diary management.
Maintain and organize databases and files.
Process incoming and outgoing email/mail and manage the delivery services.
Timely and efficient completion of routine/job-related tasks and responsibilities.
Meet and greet visitors/customers whenever required.
Key Skills and Requirements
4+ years experience in admin and sales-related roles;
Minimum of 12 months experience in Dubai;
Experience in Logistics, Consulting, or Legal industries;
High self-motivated and well-organized with an aptitude for problem-solving;
Ability to effectively prioritize and execute tasks;
Ability to put the information across professionally and intelligently;
Requires basic knowledge of financial terms and principles;
Ability to calculate simple figures such as percentages;
Keen attention to detail;
Touch typing and reporting skills;
Excellent spoken and written English;
Strong project management skills;
Extensive experience working in a team-oriented, collaborative environment;
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint);
Proficiency in OneDrive & CRM.
