Quest Integrity, a global leader in inspection and engineering services, is seeking an Administrator Coordinator who will be responsible for providing and improving administrative support functions.

DUTIES AND RESPONSIBILITIES:

Manage courier for the office incoming and outgoing
Coordinate with the bank for LC’s, fund transfer confirmation and other bank related transaction
Coordinate with the Tax advisor regarding the quarterly tax return submission
Send weekly reports to Account payable including invoices and employees expenses.
Maintain & Manage office administration as required by Quest team.
Communicate with the building management regarding office maintenance and General building announcement
Maintain office and warehouse lease agreements and parking lease agreement including renewal and applying for new parking spaces
Create new vendor forms and negotiate credit agreement
Assist with employees business visa process by getting invitation letters, book appointment when needed and other related documents for operations team.
Create new customers request in Ariba
Help with the prequalification documents generation for the sales Team
Create project folder depending on the project technology
Update project details in Visual planning and create Trello Card.
Make sure all required documents are within the project folder including previous inspection report, drawings, notes and attachment from salesforce.
Assign the peer reviewer for the project
Send preliminary report and final report to the customers
Archive the project card with all documents for future references
Attend CRM meeting once a month.
