Scope
Facilitating communications within an office. Her duties include answering and redirecting phone calls, scheduling meetings and providing personalized support for The Business Development Manager.

Essential Duties and/or Responsibilities
– Perform various tasks, like recording minutes during meetings.

– Reporting to management and performing secretarial duties.

– Processing, typing, editing, and formatting reports and documents.

– Directing internal and external calls, emails, and faxes to designated departments.

– Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.

– Prepare and maintain agendas and papers for meetings, committees and follow up on action points.

– Schedule appointments and maintain calendars

– Receive and screen phone calls and redirect them when appropriate

– Create and organize information, and generate reference tools for easy use.

– Prepare reports, presentations and correspondence accurately and swiftly.

– Ensure efficient and effective administrative information and assistance.

– Perform other related duties as assigned.

Knowledge, Skills and Abilities:
– Thorough understanding of clerical and secretarial principles.

– Familiarity with basic research methods and reporting techniques.

– Excellent organizational and time-management skills.

– Proficient in MS Office.

– Advanced proficiency in managing documents, spreadsheets, and databases.

– Exceptional filing, recordkeeping, and organizational skills.

– Proficiency in appointment scheduling and call forwarding systems.

– Excellent written and verbal communication skills.

– Tact, discretion and diplomacy

– The ability to be proactive and use your initiative: to see what needs doing and to do it.

– Language Skills – proficiency in English and Arabic.

Experience and/or Education:
– Degree in business administration (desirable) or relative field.

– Proven experience as secretary or similar administrative role is a plus.
