The office Admin should be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanor so they can effectively interact with office visitors, The ideal candidate for this position will be able to multitask in a fast-paced environment.

Responsibilities

Provide comprehensive administrative support to the Founder/Creative Director, including managing their calendars, scheduling meetings, coordinating travel arrangements.

Prepare and edit documents, presentations, and reports as required (including bio’s, resumes, profiles and presentations)

Coordinate internal and external communications, including drafting emails, meeting memos/summaries, and announcements. schedules meetings, answers phones, and maintains digital and physical records.

Coordinate with office accounting and finance teams to ensure seamless operation.

Oversee and manage day to day administrative tasks like handling entry and exit formalities of employees, Visa formalities, attendance, enforcing leave policies, and other HR & Administrative Tasks.

Coordinate and organize office activities

Oversee stock of office supplies

Arrange venues and schedules for meetings between all of the individuals.

Any other tasks as required by the management.

Communicating with clients or employers about project, event.

Handle confidential and sensitive information with utmost discretion and professionalism.

Ability to work independently without supervision

Coordinates with the suppliers regarding samples

Makes sure that the library is up to date

Coordinating with suppliers to ensure that orders are processed accurately and on time

Qualifications

experience in an administrative role
Experience with administrative and clerical work Proficiency in Microsoft Office suite
Strong communication skills
Strong ability to multitask
Friendly and upbeat demeanor

Full-Time

Location: Business Bay, Dubai, UAE.

Position level: Entry Level

Salary: 2,500-3,000 (Negotiable depending on the experience)
