We are hiring a Receptionist in Riyadh for one of our clients a global pharmaceutical manufacturing company.

 

Experience: 2+ years

Job Location: Riyadh

Saudi National Only.

1 year Renewable Contract

Primary Responsibility:

 

Administration:

· Answer incoming calls, transfer, take messages and provide assistance to callers.

· Type and prepare Arabic & English letters, keep tracking/logging sheet and archive of all incoming and outgoing letters.

·Deal with company’s staff queries (i.e outgoing mail request process, name & location of an employee, office parking, etc).

·Greeting & organizing visitors entry and handle visitors’ questions & concerns professionally and ensure providing cards for each visitor with coordination with building security.

·Receive all incoming mail express & invoices, organize outgoing, tracking date/time, distribute to the concerned departments.

·Ensure reception camera & tapes are functioning properly and main entrance & female entrance are closed all time.

·Maintain a clean, safe, fully stocked and well-organized reception area.

·Handle filing process for reception area.

·Providing employees with the needed support related to employment letters & certificates, Assisting colleagues with administrative tasks.

· Any other assignments assigned from direct supervisor.

Office Management

·Handle office projects (i.e. furniture, work station, expansion…etc), office facilities and deals with suppliers, follow up on quotations, ensure payment and completion of the project based on company’s requirements.

·Handling maintenance and follow up with suppliers.

·Supervise Cleaning services and ensure appropriate services including handling the deals with the best service supplier.

·Issuing access cards process to employees and visitors.

·Preparing meeting and training rooms.

·Manage storage rooms, from receiving supplies to distributing items as materials, products, block notes, branding items, etc.

Preferred Experience and Background:

·Degree or Diploma in Administrative or Clerical Studies

·Good communication skills in Arabic & English

· Strong computer skills
