To manage an extremely active calendar of appointments; composing and preparing correspondence that is confidential and communicating with high-level personnel.
Key Duties and Responsibilities Functional Responsibilities:
Manage the Head of Division calendar and ensure the accurate scheduling of appointments.
Produce various documents (letters, memos, correspondence, agendas, notes and minutes of meetings) as requested by the Head of Division.
Edit and proofread memos and written correspondence to ensure correct grammar and spelling.
Arrange programs, events, or conferences as per the directions of the Head of Division including arranging for facilities, issuing information or invitations, coordinating speakers, and controlling event budget.
Transcribe dictation, and compose and prepare confidential correspondence, reports, and other complex documents.
Coordinate Head of Division meetings, record and distribute minutes of meetings.
Provide information and documents for Head of Division’s meetings and coordinate for the attendance.
Travel with the Head of Division when required to handle all executive assistance tasks for the Head of Division while abroad.
Devising and maintaining office systems, including data management, filing… etc.
Job Requirements:
Diploma in Secretary, Business Administration, English language or related field (Bachelor’s Preferred).
5 – 8 years of work experience in an administrative/office management role.
Requirements and skills:
Proven experience as an Office Manager, Executive Assistant or Administrative Assistant.
Knowledge of Office Administrator responsibilities, systems and procedures.
Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills in a fast-paced environment.
Must be a self-starter and driven.
Written and Oral proficiency of English language.
Strong problem-solving skills and analytical abilities.
Must have exceptional attention to detail.
