JOB SUMMARY:
Our client Need Executive Secretary Must be Saudi .
The Office Manager will oversee the general administrative function and coordination activities of the office & program.
Responsibilities
Supervise and manage the day-to-day tasks and performance of administrative personnel such as Administrative and Executive Assistants reporting to CEO.
Ensure executive assistants take minutes during meetings and document action items for follow-up on pending items and tracking purposes.
Opening, sorting and distributing Open, sort and distribute incoming faxes, emails, and other correspondence to CEO.
Assist with miscellaneous administrative tasks (such as maintaining email distribution lists, registration for events/conferences, control of itineraries etc.)
Act as the first point of executive contact among General Managers, Department Managers, and other external Entities to manager.
Ensure a high level of confidentiality while communicating with internal stakeholders and external entities.
Monitor day-to-day activities to ensure compliance with stipulated policies and procedures.
Encourage team and contribute to the identification of opportunities for continuous improvement of systems and processes taking into account leading practices, changes in business environment, cost reduction and productivity improvement.
Establish working relationships with relevant internal and external stakeholders.
Collect feedback from stakeholders on issues being faced and other requirements in order to identify barriers and develop action plans.
Manage the preparation of progress reports or continuous information and updates direction to all relevant stakeholders to keep them informed of progress.
Collaborate with HR to identifying and recruit talent for administrative tasks.
Manage, guide and assist team to perform their operations in accordance with set policies and procedures.
Prepare top management meeting along with minute taking and documenting, coordinate with project coordinator from PMO office to align with program and company relations.
Qualifications
Bachelor’s degree in Business Administration or relevant.
2-3 years of relevant experience
