As an Executive Secretary for an engineering company, your role is to provide high-level administrative support to the executives, managers, and engineering teams within the organization. You will play a crucial part in ensuring the smooth operation of the company by managing administrative tasks and assisting with various functions.

Job Duties:

· Calendar Management: Managing the executives’ calendars, scheduling meetings, appointments, and events. You will need to prioritize and organize their schedules efficiently.

· Communication: Handling all incoming and outgoing communication on behalf of the executives, including emails, phone calls, and other correspondence.

· Meeting Coordination: Arranging and coordinating meetings, preparing agendas, taking meeting minutes, and distributing relevant documents.

· Travel Arrangements: Making travel arrangements for executives, including booking flights, accommodations, and transportation.

· Document Preparation: Drafting, proofreading, and formatting various documents, reports, presentations, and proposals.

· Data Management: Managing and organizing important company data and files, ensuring they are easily accessible and well-maintained.

· Expense Management: Assisting with expense reports and keeping track of company expenses.

· Office Administration: Handling general office duties, such as managing office supplies, and equipment, and coordinating maintenance services.

· Project Support: Assisting engineering teams with project-related administrative tasks, document control, and progress tracking.

· Client Support: Assisting with client communication and coordination, responding to inquiries, and providing excellent customer service.

· Cross-Functional Collaboration: Collaborating with other departments and team members to ensure efficient information flow and coordination.

Requirements:

· A bachelor’s or associate’s degree in a relevant discipline.

· prior experience as a consultant or in the construction industry.

· Proficient in both Arabic and English writing and verbal communication.

· Has knowledge of administrative and clerical operations.

· Able to positively impact a team and assist with a variety of responsibilities as needed. managed tasks in consulting organizations.
